10.7 PROOFING AND CHECKING IN NEW MATERIAL

Proofing and checking in newly cataloged items should be a priority. Circulation of materials in your branch is dependent on making sure that new items are available to the public in a timely fashion. Newly cataloged books, DVD’s, etc. are delivered to the branches routinely as they are processed. Staff is responsible for proofing the records and checking the items in.


Item Status

  • Scan/type barcode in search bar. (Barcode to make sure it’s active. If looked up by title, any error with the barcode will not come up.)

  • Check item for imperfections. Books may have upside down pages, missing pages or large ink spots from printing.

  • Title

  • Find correct copy and select view under the copy’s barcode.

  • Confirm:

    • Title is correct on catalog, pocket, title page, front cover, and spine label.

    • Author is correct on catalog, pocket, title page, front cover, and spine label.

    • Publication date matches CIP.

    • ISBNs on catalog and back cover match.

    • Circulating and owning library are correct.

    • Shelving location is correct.

    • Call # on catalog, pocket, and spine label.

    • Property stamps and branch designation matches.

    • Shelving location and Call # correlate.

Patron Catalog

  • Open library website: blrlibrary.com

  • Search Catalog (end of branch locations bar)

    • Search: Author or Title

    • Type: Author or Title

    • Format: All Books, CD Audiobook, DVD, etc.

    • Library: Branch location you are proofing for

  • Click on title

  • Scroll down to bottom of page and select MARC Record.

  • Book

    • Confirm these fields match the physical book:

      • 020 – ISBN

      • 100 – Author

      • 245 – Title

      • 250 – Edition

      • 264 – Publisher and Copyright Date

      • 300 – Physical Description

      • 490 – Series

      • 586 – Award and Year

      • 800 – Author and Series

  • DVD

    • Confirm these fields match the physical DVD:

      • 020 – ISBN

      • 024 – UPC

      • 245 – Title

      • 250 – Edition

      • 264 – Publisher and Copyright Date

      • 300 – Physical Description

  • Audiobook

    • Confirm these fields match the physical audiobook:

      • 020 – ISBN

      • 100 – Author

      • 245 – Title

      • 250 – Edition

      • 264 – Publication and Copyright Year

      • 300 – Physical Description

      • 490 – Series

      • 511 – Performers (Narrator)

      • 700 – Personal Name (511)

      • 800 – Author and Series (490)

  • CD Music Recording

    • Confirm these fields match the physical CD Music Recording:

      • 020 – ISBN

      • 245 – Title

      • 264 – Publication and Copyright Year

      • 300 – Physical Description

      • 505 – Song Titles

Check In

  • After all information matches, check in item to pull it out of ‘In Process’ and into ‘Available,’ ‘In Transit,’ to another library/branch or ‘Holds Shelf.’

  • With pencil, checkmark next to branch initial at top right corner of pocket page.

  • “NEW” stickers are only for New Releases. Stickers are not new to us stickers. Remove after six months.

  • The item is now ready for the new book shelf or to be set aside for patron requests if there are holds on the item.
