SECTION 7—LEAVE AND TIME OFF

7.1 VACATION

All full time and part time (20 hours or more per week) employees are entitled to vacation with pay. Temporary and part time (less than 20 hours per week) employees are not eligible. All vacation time must be recorded on the employee’s monthly time sheet.

Accrual: The employee’s anniversary date of hire will be used to determine the amount of vacation time due on the first year of service only; after which time vacation leave will be on an annual basis from January 1st.

  • Library Director—Allowed four (4) weeks of vacation time, eligible for one week after completing the first six (6) months of employment. Eligible for an additional three (3) weeks on anniversary date. Additional vacation leave may be negotiated after 10 years of employment.

  • Full time salaried employees—Allowed two (2) weeks of vacation time, eligible for one (1) week after completing the first six (6) months of employment. Eligible for additional one (1) week on anniversary date.

Length of Continuous Service Weeks of Vacation

1 year to 5 years 80 hours (2 weeks)

6 years to 10 years 120 hours (3 weeks)

11 years or more 160 hours (4 weeks)

  • Part time employees—Part time employees that work 20 or more hours per week are allowed 20 hours of vacation after the one (1) year anniversary date. Part time employees that work less than 20 hours per week and temporary employees are not eligible.

Length of Continuous Service Weeks of Vacation

1 year to 5 years 20 hours (1/2 week)

6 years to 10 years 40 hours (1 week)

11 years or more 60 hours (1 1/2 week)

Vacation Scheduling: Vacations should be scheduled in such a way as to not hamper the normal operating efficiency of the library and coordinated with other employees at the branch. Employees are encouraged to take their vacation period in one or two week increments. A vacation week constitutes the number of regularly scheduled days that the employee works per week. Branch supervisors should use the "Annual Vacation Request and Approval Form" for planning purposes. At minimum, employees must submit a request for the use of vacation leave to the branch supervisor at least one (1) month in advance.

Vacation leave may be taken in increments of one (1) or more hours.

Leave Request Forms: An employee must get their Branch Supervisor’s approval before taking time off. A leave request form needs to be completed at least one week in advance, signed or initialed by the Branch Supervisor, and filed with the Regional Office prior to taking time off.

Use of Vacation Time: All accrued vacation leave must be taken by December 31st. An employee may not be given additional pay in lieu of vacation days not taken. Unused days will be forfeited; or a maximum of one (1) week of vacation may be carried over into the next year with the approval of the Library Director. A written request must be made in advance with approval from Branch Supervisor and the Library Director. Request will be filed in the employee’s personnel file.

Vacation in Lieu of Sick Leave: Vacation may be used in lieu of sick leave with Director’s approval.

Holiday within Vacation Period: In the event a library observed paid holiday falls within an employee’s vacation week, the day is counted as a holiday. The vacation may be extended with prior supervisory approval y one (1) day or the employee may retain the additional day for future use.

Vacation Relative to Termination of Employment: An employee who has resigned, been dismissed, or has retired shall be paid for unused vacation leave in the next regularly scheduled payroll period. An employee who has not worked for one full year or completed a vacation eligibility year at the time of his/her termination of employment (leaves prior to January 1st—the beginning of a new vacation year) is not eligible to receive a prorated vacation.
